BCD Travel Project Accountant in Costa Rica

Fully manage billing reconciliation & final budget entry process for all BCD M&E managed programs for large Strategic Meetings Management (SMM) client. Review final hotel and conference center invoices and compare against contracted services to ensure accuracy. Manage event level invoice payments, discrepancies, discounts and credits within client required guidelines and deadlines. Collaborate with Planning and Registration Managers on vendor invoice accuracy, payments, cost savings reporting and customer communications. Document, payment & budget management within Cvent meeting management tool.

Job Specific Essential Duties & Responsibilities:

  • Manage billing reconciliation process for hotel/conference center meeting and event expenditures
  • Review hotel/conference center invoices and reconcile against contracts, meeting specifications, event orders, budget and rooming list to ensure accuracy; including all discounts, concessions and credits
  • Work with Planning Managers and Registration Managers and hotels/conference centers to communicate & resolve billing disputes
  • Negotiate discounts, credits and payment terms as necessary
  • Ensure timely and accurate cost savings reporting and required documentation
  • Complete general ledger to execute final hotel payments within client guidelines and policies
  • Ensure all required financial documentation is uploaded to Cvent meeting management tool
  • Perform audit, finalize budget and complete file close out procedures within 60 days after the end of the meeting as required by the customer
  • Final and accurate spend and cost savings data entry into Cvent meeting management tool
  • Contribute to 15% savings SLA as required by the customer
  • Attend and participate in internal departmental and team calls
  • Collaborate with multiple internal departments on special projects as necessary
  • Work independently in the absence of supervision
  • Protect confidential information of both BCD M&E and customer
  • Complete & finalize Meeting Request Forms and Process Forms (as applicable) in Cvent meeting management tool
  • Manage invoice reconciliation process
  • Complete final meeting budget
  • Audit final budget for accuracy and savings
  • Submit final payment
  • Assume and perform other duties and responsibilities not specifically outlined herein, but which are logically and properly inherent to the position



  • A minimum of 2 years of General Accounting experience required
  • A minimum of 2 years invoice reconciliation experience
  • Knowledge of/previous experience in using on-line meeting management tool; specifically budget module
  • Strong written and verbal communication skills required to interact with vendors and colleagues
  • Strong organizational and interpersonal skills
  • High level of attention to detail
  • Proficient in Microsoft Excel; including shortcuts and formulas
  • Ability to manage and prioritize numerous projects simultaneously
  • Ability to manage time to meet hard deadlines per the customer SLA
  • Ability to work well under pressure in a high-volume environment


  • Associates Degree
  • Previous experience with Cvent and/or StarCite meeting management tool
  • Previous Meetings/Travel Industry experience
  • Experience with Google for Business
  • Strong change management skills
  • Strong negotiation skills
  • Capability of problem solving - anticipating, initiating and resolving issues
