Mondelez International is looking for: Document Management Advisor

Description

Responsible for scanning, distributing and archiving all physical documents and records within Mondelez.

Responsibilities

  • Collect, process and store electronic records / documents in an HR database system.

  • Manage access and circulate electronic records / documents

  • Track and restore circulated electronic records / documents

  • Manage retention/ deletion of electronic records / documents

  • Apply relevant legislative requirements for document retention and data privacy

  • Act as an ambassador for effective document management

  • Communicate with retained HR and business leaders to ensure robust document management and address any gaps

  • Check/validate/verify all documentation, including format and legibility.

  • Consult with end users regarding problems in accessing records / documents

  • Work on and implement continuous improvement projects

  • Process requisitions for purchase orders and follow up on approvals to ensure they are done in a timely manner

  • Process goods receipt once it has been confirmed with requestor that services have been provided

  • If needed, follow up on any issues regarding invoices

  • Act as liaison between the Procurement Operations team and their business functions/departments.

The Success Candidate Will be:

Qualifications

Academic Knowledge

High school diploma required. Technical Degree in Business, Organizational behavior, HR or related field preferred

Working Knowledge

  • Expertise in compliance and controls preferred

  • Experience in document management preferred

  • Experience in working in a shared service organization preferred

  • Experience in using document management related technologies such as document management systems, scanning solutions, archiving solutions

  • Experience in working with case management system

  • Experience in managing projects

  • General understanding of HR processes

  • Fluent English required (Spanish/French/Portuguese speaker preferred )
