Essential Job Functions:

Recruiting coordination

  • Schedule interviews and create offer letters for applicants.

  • Coordinate background checks for applicants. Correspond with applicants to request any necessary documentation. Evaluate checks upon completion based on Experian background check standards.

  • Closely partner with Talent Acquisition Partners (recruiters) to provide a great candidate experience for all job applicants

  • Ensure Taleo Recruiting reflect the accurate and current status for job applicants

Import and Index documents

  • Using an imaging software application system, follow standard procedures to upload copies of employee documents into a digital imaging system.

  • Accurately determine the appropriate category for documents. Use discretion and independent judgment to properly categorize documents based on document content and formats.

  • Follow proper employee recordkeeping standards and procedures in document imaging system

New hire documents

  • Monitor candidate status in onboarding system for completion of new hire documents

  • Prepare I-9 documentation to forward to the third party administrator

Fulfill requests for documents

  • Responsible for fulfilling all employee document requests from HR or Legal team.

  • Ensure all documents requests are handled in a confidential manner.

Perform other duties as business priorities shift

  • Respond to employee e-mails accurately and in a professional and timely manner.

  • Responsible for entering and maintaining some worker records in Oracle.

  • May monitor electronic new hire feed from Taleo to Oracle and audit new hire records. Ensure complete and proper completion of Oracle employee records by questioning missing data and contacting recruiters or others

  • May be assigned to special projects

  • Carry out all responsibilities in accordance with Experian policies, procedures, and applicable laws.


  • Requires a minimum of 1 year experience in office administration

  • Very strong English verbal and professional written communication skills.

  • Ability to communicate and interact effectively with all levels of management

  • Proficiency with Microsoft Office, including Outlook, Excel and Word

  • Ability to create and modify calendar scheduling, perform basic calculations, filter spreadsheet and audit tracking spreadsheets for accuracy

  • Experience with Oracle or Taleo a plus.

  • Understanding of data integrity and audit requirements

  • High level of self-initiative and sense of urgency coupled with a strong customer service orientation

  • Attention to detail and accuracy is critical

  • Ability to work independently as the single HR Operations person in the location; will report into a manager based in the U.S. not the on-site HR Manager

  • Ability to organize and prioritize workload for optimum efficiency.

  • Ability to maintain strict confidentiality and discretion.
