Auxis Accounts Payable Supervisor in Heredia, Costa Rica

The main purpose of this function is to ensure that all payables are managed efficiently and effectively, in accordance with established service levels and other contractual requirements. The individual will be responsible for the oversight on the scanning, indexing, coding, approvals and processing of vendor invoices, processing of vendor payments. The Accounts Payable Supervisor should focus on ensuring the overall quality and efficiency of the Accounts Payable processing area, and serve as the primary liaison to client Accounts Payable management. In addition, the Accounts Payable Supervisor will actively participate in all transactional activities, including invoice and payment processing.

  • Accounts Payable Transaction Processing

  • Ensure that all required invoices are received, coded, approved and processed for payment in a timely manner, and in accordance with established processes and timelines

  • Manage all related transactional activity and report to client Accounts Payable management on any invoice or payment exceptions, variances or issues

  • Maintain all invoice and payment records in required systems (i.e., client and/or Auxis internal systems)

  • Process and monitor invoices, payment proposals and other client expenditures

  • Ensure accuracy in the daily processing of accounts payable transactions

  • Provide financial, administrative and clerical services as needed

  • Record transactions in systems, in accordance with established client procedures

  • Properly prepare needed financial and operational reports for all transactional activities, as required and in accordance with client procedures

  • Ensure proper maintenance of invoice and payment records, as well as vendor data, as required, and in accordance with established client procedures

  • Participate in other account migrations, as required, including:

  • Participate and lead BPO client migration efforts, including participating in the process analysis, “to be” design and migration planning

  • Participate in all migration activities, including process documentation, standard operating procedures development, service level definition, automation and system analysis and implementation, etc.

  • Participate in the development and delivery of project deliverables, work product, proposals, statements of work, and contracts prior to submittal to the prospective client.

  • Minimum 4+ years experience in finance, accounting, or similar operational areas, with experience in US-based Consumer Products, Wholesale or Retail Distribution businesses a plus.

  • Knowledge of US GAAP requirements.

  • 3+ years in a professional services (consulting) industry preferred, or comparable experience in planning, participating in and executing multiple process migrations from the US to Latin American shared services or outsourcing operations.

  • Strong analytical and problem solving skills.

  • Self starter who can work with projects from start to finish. Ability to prioritize tasks and to work independently. Demonstrates initiative to follow up on pending issues and organize assigned work. Disciplined approach to business.

  • Ability to perform analyses with complex data and formulate perspectives on findings. Detail oriented and strong organizational skills with the ability to manage multiple tasks. Good interpersonal, analytical, and organizational skills with an ability to work at both strategic and tactical levels are critical.

  • Strong knowledge of MS Office tools (Excel, PowerPoint, Access etc.), process design tools (i.e., Visio), query report writers, etc. and familiarity with ERP Systems (Oracle, JD Edwards, SAP, etc.)

  • Ability to collect, assimilate, retain, and analyze information on the business, including data collection and analysis.

  • Strong written and verbal communication skills with the ability to express oneself in a logical and concise manner are essential.

  • Team building skills and the ability to establish effective relationships and rapport with a wide variety of individuals will be crucial to success.

  • Bachelors Degree in business administration, finance, operations research, industrial engineering, or related field. Masters Degree preferred. CPA preferred.
