Job Description:

The person hired for this position of Facilities Coordinator will manage all offices supplies and its process as well as all facility related matters including but not limited to building maintenance, relationship with the developer, EHS compliance, site security, site utility invoices and CIP plan to improve energy and waste consumption, general building management such as parking, furniture, cleaning, among others.

Additional duties include:

  • Assist with safety, comfort and productivity of the GSC Costa Rica employees through emphases of all phases of facility best practices

  • Understand, assist and coordinate maintenance service requests, building security, and room set ups, audio visual equipment, shredding and disposing of confidential waste

  • Interact with other facility administrators, and other 3M personnel in functions such as Property management, Engineering, Sourcing and IT

  • Ensure that outside contractors adhere and comply with all 3M HIS policies when performing contracted duties

Primary Responsibilities include but are not limited to the following:

  • Providing solutions to assigned facility related assignments, Ensure that all FedEx, UPS, USPS mail, shipping & receiving duties are preformed, delivered, and or stored daily. Match all receiving into SAP system. Maintain inventory of all facility supplies, tools and maintenance equipment

  • Assist with a variety of office activities.

  • Back up and support with the Security badging system and insuring that security measures are adhered to, and security measures are properly managed, and willing to be on the after hour’s emergency on-call list

  • Developing an understanding of current audio visual equipment, (maintain and upgrade as this equipment needed), prepare room set-up requested by staff, and return to original condition at conclusion of meeting

  • Assist with managing facility projects and contractors

  • Ensure building HVAC / boiler systems are running at proper comfort levels, per the building’s property maintenance staff. Conduct regular building (per floor) walk-through for any maintenance or safety related issues that need to be addressed

  • Supports other facilities and IT personnel if needed

  • Prepare a weekly order for restocking office supplies, coffee service supplies, checking incoming supplies against order, office copier, printer and fax machine supplies, paper, cleaning supplies. Maintain work rooms, kitchen and conference rooms in a neat and organized condition

  • Enforce corporate environmental health and safety, and security policies and standards

  • Performs other duties as assigned

Basic Qualifications:

  • Minimum high school diploma or higher from an accredited institution

  • Minimum Two (2)+ years of Facilities experience

  • Advance English and Spanish level

  • Advance communication skills

  • Problem solving skills

    Preferred Qualifications:

  • Four (4)+ years job-related experience is preferred.

  • Experience or proven knowledge about ticketing system for facilities requests.

  • Studies on Industrial or Civil Engineering.
